Booking Terms & Conditions
Please read these terms carefully. They set out the basis on which every Al-Itqan Hajj & Umrah booking is made, confirmed and delivered.

These Terms and Conditions ("Terms") govern all bookings made with Al-Itqan Hajj & Umrah ("Al-Itqan", "we", "our" or "us"). By submitting a booking, paying a deposit, making any payment, or participating in any tour organised by Al-Itqan Hajj & Umrah, the traveller ("Traveller", "Pilgrim" or "you") acknowledges that they have read, understood and accepted these Terms and agree to be legally bound by them.
- All bookings remain subject to availability and are not confirmed until Al-Itqan Hajj & Umrah has issued written confirmation.
- A deposit is required to secure a booking unless otherwise specified.
- Al-Itqan reserves the right to decline any booking prior to confirmation.
- A minimum 50% deposit is required unless otherwise stated.
- Bookings made after the advertised final payment date may require immediate payment in full.
- Failure to pay any outstanding balance by the due date may result in cancellation of the booking without further notice.
- Al-Itqan reserves the right to withhold travel documentation until all monies owing have been paid.
- Prices are based upon supplier costs, exchange rates, airport taxes and government charges applicable at the time of publication.
- Al-Itqan reserves the right to amend package prices before final payment where increases arise from supplier charges, taxation, exchange rate fluctuations, fuel surcharges or circumstances beyond our reasonable control.
- Any promotional offers apply only during the advertised promotional period.

Passport, Visa & Immigration
- Travellers must hold a passport valid for at least six (6) months beyond the intended return date.
- Travellers remain solely responsible for obtaining and maintaining valid passports, visas and travel documentation.
- Additional visa charges may apply for non-Australian or non-New Zealand passport holders.
- Visa approval is solely at the discretion of the issuing government authority and cannot be guaranteed by Al-Itqan.

Government Requirements
- Travellers must comply with all immigration, customs, health, aviation and security requirements imposed by Saudi Arabia, Jordan, Palestine (where applicable), transit countries and Australia.
- Entry requirements may change without prior notice.
- Any costs arising from changes in government regulations shall remain the responsibility of the traveller.

Nusuk & Religious Permits
- Travellers are responsible for downloading and maintaining any government-approved applications, including the Nusuk App.
- Entry to Al-Rawdah and other restricted sites is subject to availability and approval by the Saudi authorities.
- Al-Itqan Hajj & Umrah cannot guarantee appointments or permits issued by government authorities.

Health & Medical Disclosure
- Travellers warrant that they are medically fit to undertake the pilgrimage.
- Any pre-existing medical condition, disability, allergy or mobility limitation must be disclosed before booking.
- Al-Itqan reserves the right to refuse participation where a traveller's condition may compromise their safety or the safety of others.
- Travellers remain responsible for carrying all required medications throughout the journey.
- Comprehensive travel insurance is strongly recommended.
- Any insurance included with an Umrah visa is generally limited in scope and should not be relied upon as comprehensive cover.
- Al-Itqan shall not be liable for losses that would otherwise be recoverable under an appropriate travel insurance policy.

Flights, Hotels & Itinerary
- Flight schedules, airlines, hotels, transport providers and itineraries remain subject to operational requirements.
- Al-Itqan reserves the right to substitute airlines, hotels or transport providers with services of an equivalent or higher standard where reasonably necessary.
- Tour itineraries may be amended without prior notice due to weather conditions, government directives, crowd management, operational requirements or other unforeseen circumstances.
- Twin, triple and quad room allocations remain subject to availability.
- Single room requests will incur the applicable single supplement.
- Room-sharing arrangements shall be determined by Al-Itqan unless otherwise agreed in writing.
- Optional excursions, educational programs and recreational activities are subject to availability, local conditions and operational feasibility.
- Participation in optional activities is entirely voluntary and undertaken at the traveller's own risk.

Changes Requested by the Traveller
- Any request to amend a confirmed booking is subject to supplier approval and availability.
- Amendment fees imposed by airlines, hotels or suppliers shall be payable by the traveller.

Cancellation by the Traveller
- Deposits are generally non-refundable once supplier commitments have been made.
- Cancellation charges will be determined in accordance with airline, hotel, visa and supplier policies.
- Administrative fees may apply to cancellations, amendments and refunds.
- Refunds will only be processed after funds have been received from third-party suppliers where applicable.

Cancellation by Al-Itqan
- Al-Itqan reserves the right to cancel, postpone or amend any tour due to insufficient participant numbers, safety concerns, operational requirements, government directives or circumstances beyond its reasonable control.
- Where a tour is cancelled by Al-Itqan (other than due to Force Majeure), travellers will be offered an alternative package or any refund required by Australian Consumer Law.
- Al-Itqan Hajj & Umrah shall not be liable for any delay, cancellation, alteration or failure to perform its obligations where such failure arises from events beyond its reasonable control, including but not limited to natural disasters, the Decree (Qadr) of Allah, pandemics, epidemics, war, civil unrest, terrorism, government directives, border closures, airline disruptions, supplier insolvency, adverse weather conditions, or any other Force Majeure event.
- Where a Force Majeure event occurs, Al-Itqan will use reasonable endeavours to minimise disruption and assist travellers; however, any additional costs imposed by airlines, hotels or other suppliers shall remain the responsibility of the traveller.
- Travellers must comply with the laws, customs and religious etiquette of all countries visited.
- Respectful behaviour towards fellow pilgrims, tour leaders, hotel staff, airline personnel and local authorities is expected at all times.
- Al-Itqan reserves the right to remove any traveller whose behaviour is unlawful, abusive, unsafe or materially disrupts the tour without entitlement to any refund.
- Travellers remain solely responsible for their passports, travel documents, baggage, valuables, cash, jewellery and electronic devices.
- Al-Itqan accepts no liability for loss, theft or damage to personal property.
- Airlines, hotels, transport providers and other suppliers operate independently of Al-Itqan Hajj & Umrah.
- Their services remain subject to their own terms and conditions.
- Al-Itqan shall not be liable for any act, omission, default or insolvency of any independent supplier.
- Al-Itqan may photograph or record portions of the pilgrimage for promotional, educational or archival purposes.
- Travellers who do not wish to appear in photographs or videos should notify Al-Itqan in writing before departure.
- Any complaint regarding accommodation, transportation or services should be reported immediately to the appointed tour leader to allow reasonable efforts to resolve the issue during the journey.
- Complaints received after completion of the tour may be more difficult to investigate.

Limitation of Liability
- To the fullest extent permitted by law, Al-Itqan Hajj & Umrah shall not be liable for any indirect, incidental or consequential loss arising from participation in any tour or from the acts or omissions of independent suppliers.
- Nothing in these Terms excludes, restricts or modifies any rights or remedies that cannot lawfully be excluded under the Australian Consumer Law.
- Personal information collected by Al-Itqan Hajj & Umrah will be used solely for administering bookings, obtaining visas, arranging travel services and complying with legal obligations.
- Personal information will be managed in accordance with applicable Australian privacy legislation.
- These Terms and Conditions shall be governed by and construed in accordance with the laws of the State of Victoria, Australia.
- Any dispute arising under these Terms shall be subject to the non-exclusive jurisdiction of the courts of Victoria.
- If any provision of these Terms is found to be unlawful, invalid or unenforceable, the remaining provisions shall continue in full force and effect.
- These Terms and Conditions constitute the entire agreement between Al-Itqan Hajj & Umrah and the traveller concerning the booking and supersede all prior representations, discussions and understandings except where otherwise required by law.
- By submitting a booking, paying any deposit or participating in any Al-Itqan Hajj & Umrah package, the traveller confirms that they have carefully read, understood and accepted these Terms and Conditions and agree to be legally bound by them.
